Volunteer Agreement

Ferne Animal Sanctuary appreciate you volunteering with us and will do the best we can to make your volunteer experience enjoyable and rewarding. To ensure our volunteers are fully utilised, safe and happy we ask that you submit this agreement to confirm your understanding of our expectations, and what you can expect from us.

This is an agreement made between you and Ferne Animal Sanctuary on the basis that you are a volunteer. If you or the Sanctuary wish to end the volunteer agreement this can be done at any time.

This Volunteer Agreement describes the arrangement between Ferne Animal Sanctuary (hereafter referred to as “the Sanctuary”) and you:

Part 1: What you can expect from Ferne

1. Induction and training

We will provide an induction on the work of the Sanctuary, its staff, your volunteering role and the training you need to meet the responsibilities of this role

2. Supervision, support and flexibility

• We will explain the standards we strive for and encourage and support you to achieve and maintain them

• You can discuss your volunteering with your departmental manager who will help answer your questions, listen to any problems or concerns you may have and, where possible, strive to resolve them

• We will do our best to help you develop your volunteering role with us

3. Health and safety

We will provide adequate training in our health and safety procedures

4. Insurance

We will provide adequate insurance cover for volunteers whilst undertaking volunteering approved and authorised by us

5. Data protection

In accordance with the General Data Protection Regulations and the Data Protection Act 2018, the Sanctuary is required to obtain your consent to process personal data held in the Volunteer records and on the Sanctuary’s database

By signing this documentation, you give the Sanctuary permission to collect, retain and process personal information about you. This information will only be used in order to monitor compliance with the law, best practice, security, equal opportunity and non-discrimination. For further information please refer to our Privacy Policy available on the website, or you may request a copy from the People Advisor.

Part 2: What Ferne expects from you

• That you will help the Sanctuary fulfil its aims and objectives and perform your volunteering role to the best of your ability

That you will adhere to the Volunteers Code of Conduct as specified in the Volunteer Handbook and help us to nurture a positive environment for visitors, customers, supporters, volunteers and staff

• That you will adhere to the Sanctuary’s rules and procedures including those specified in the Volunteer Handbook and Volunteer Safety Handbook (by Peninsula)

• That you will maintain the confidential information of the Sanctuary and of its supporters and visitors in accordance with the General Data Protection Regulation and Data Protection Act 2018. In addition, that you will maintain confidentiality regarding our activities, the animals in our care and our supporters, staff and other volunteers. This includes not circulating information on social media without permission.

• That you will give reasonable advance notice to your immediate supervisor whenever you cannot volunteer as expected or if you wish to cease your volunteering with us so we can make alternative arrangements

• That you will provide referees as requested before you commence volunteering and agree to a Disclosure Barring Service (DBS) check being carried out where necessary. You will inform us of any past prosecutions, current or unspent criminal convictions relating to Animal Welfare. Failure to disclose will result in you being asked to stop volunteering.

• That you agree the Sanctuary may use any image of you photographed during volunteer activities for publicity purposes
